Societetshuset Terms
Societetshuset – Booking and Accommodation Information
Booking Societetshuset
Societetshuset usually needs to be booked well in advance. Bookings are often made one or two years ahead because the venue is in high demand for weddings and parties.
Provisional and Confirmed Bookings
When you wish to book, we first make a provisional reservation for several days. This gives you time to confirm with each other, the church and any other parties that the date works. No advance payment or deposit is required at this stage.
We need to know:
- The weekend or date you wish to hire the venue
- Your contact details: name, address, mobile telephone number and email address
Confirmed booking - If you decide to confirm the booking, you will receive an email containing a booking confirmation. If you cancel before signing the contract and paying the invoice, a cancellation fee of SEK 500 will apply.
Contract and Invoice
Usually during the autumn, just over six months before the booking date, or earlier for an early-booking offer, we will send you:
- A rental contract in duplicate
- An invoice for the full rental amount, including the booking fee
- Additional information
The contract must be signed and returned to us within two weeks, and the rental charge must be paid within 14 days. Other terms apply once a signed copy of the contract has been returned to us.
If you cancel after this point, the rental amount will be refunded, but the booking fee specified in the contract will not.
Guest Accommodation
Accommodation Options
A condition of hiring Societetshuset for your wedding or party is that you also undertake to hire guest accommodation from us at Hotell Tvåan and Hotell Slottet. This comprises a total of 28 beds for at least two nights, with twelve double rooms and four single rooms across the two hotels.
Your guests pay for their accommodation when they check in.
Additional beds are available if you have more guests whom you would like to accommodate together near the venue.
We offer several types of accommodation at Gustafsberg’s Seaside Hotel and Hostel, including:
- Approximately 90 beds in 40 rooms across five buildings
- Nine room types in different price ranges, in both the hotel and hostel: https://www.gustafsberg.se/vara-boenden/
Pre-booking Rooms
When hiring Societetshuset, you reserve all hotel rooms for your guests. You may also pre-book our hostels for them. Choose which buildings and rooms you wish to reserve in addition to the hotels, and we will hold all reserved rooms in your name free of charge until three months before the event.
- You prepare your own guest list and allocate the hotel rooms to your guests. We will email you an Excel file in which you enter their details. You must return it to us by email no later than three months before the stay.
- If you require more accommodation, including hostel rooms, you can either prepare a guest list for those rooms as well, allowing you to decide where everyone stays, or ask your guests to email us directly. Some couples prefer hostel guests to contact us themselves so that the couple does not have to manage those bookings. Hostel guests may stay for one or two nights, while a two-night stay is required at the hotels.
Important Information for Guests
If you would like guests staying in the hostels to book their own accommodation, include the following information in the invitation to make the booking process as smooth as possible:
- Our contact details: info@gustafsberg.se
- The names of the couple or host and the dates of the stay in the email subject line
- The guest’s full name, mobile telephone number and email address for the booking confirmation
- Check-in and check-out dates and preferred building or room
- One or more alternative rooms, as some room types are more popular than others
- A note that these rooms cannot be booked online through our website
- For bookings outside our high season, in May and September, ask hostel guests to state whether they will bring their own bed linen and towels or hire them from us for SEK 150 per person
Check-in and Check-out
Standard Check-in Times
During the high season, reception is open for check-in from 16:00 to 19:00, and from 14:00 to 15:00 at the beginning and end of the season. If these times do not suit wedding guests, we can arrange earlier access to their rooms.
Flexible Check-in Times
If many guests have booked accommodation, we can open reception for 1.5 hours at a suitable time between 12:00 and 16:00, for example before the wedding ceremony.
For fewer bookings, you can appoint someone from the wedding party to be responsible for distributing keys.
Alternative Arrangements
If your guests arrive at different times on Friday, you can manage check-in yourselves or appoint someone to distribute the keys. If only a few rooms are booked, a key safe may also be used.
Check-in Outside High Season
If you book Societetshuset in May or September, reception will not have the same opening hours as during the summer and fewer staff will be available. We will nevertheless try to find a suitable solution based on the number of guests who have booked.
Check-out
Outside the high season, reception is usually closed on the day of check-out. If it is closed, guests should leave the key in the door when departing.
Additional Information
Cleaning Arrangements for Early Check-in
Guests who receive access to their rooms before 16:00, or 14:00 during certain periods, must be aware that the rooms may not yet have been cleaned if other guests stayed the previous night. Rooms will be ready no later than 16:00, or 14:00 where applicable, but luggage may be left in the room before it is ready.
Bed-making and Cleaning During Longer Stays
Wedding guests staying for more than one night will not have their beds made on the day of the celebration, as the cleaning staff wish to avoid disturbing guests while they prepare. Extra sets of clean towels will instead be available in the rooms or entrance for guests to take as needed.
